Receptionist / Administrative Assistant

We are seeking to recruit a Receptionist / Administrative Assistant reporting to our PA/Office Manager to support our team of architects. This is a full-time  permanent position. The core hours are Monday to Friday 8.30am to 5pm.

Responsibilities will include but will not be limited to

  • Managing telephone calls
  • Welcoming clients and other visitors to the office
  • Ordering office stationery and sundries
  • Responsibility for reception and meeting rooms logistics
  • Managing and servicing of meeting rooms
  • Organising office systems including job files, archiving, scanning and administrative support.
  • Diary management
  • Managing and responding to mail as appropriate
  • Producing, photocopying and binding reports and applications
  • Website monitoring and management
  • Arranging meetings (internal and external)
  • A good understanding of C+W O’Brien aims and organisation

Key Competencies

  • Experience within a professional service’s administrative role
  • Strong and demonstrable verbal and written communication skills in English
  • Proficient in Microsoft Office including Word, Excel, Outlook and PowerPoint
  • Highly organised with the ability to prioritise to ensure deadlines are met
  • Ability to work as part of a team
  • Good typing skills
  • Good interpersonal skills
